Invite Team
The Reply Agent is built for teams. You can invite colleagues to join your workspace so everyone shares the same campaigns, AI sales reps, prospects, and company knowledge. Every person you invite gets full access to your team's data — no need to duplicate anything.
Team management lives in Settings > Members. From there you can invite new people, manage pending invitations, and control who has access.
Roles
Every team member has a role that determines what they can do. You assign a role when sending an invitation, and it carries over when the person accepts.
| Role | What They Can Do |
|---|---|
| Admin | Full access to everything, including managing team members — inviting, removing, and changing roles |
| Member | Full access to campaigns, AI sales reps, prospects, and all other features — but cannot remove other team members |
When you create your account, you're automatically assigned the Admin role. Everyone you invite joins as either Admin or Member, depending on what you select during the invite process.
Sending Invitations
There are two ways to open the invite dialog:
- Click "Invite" in the sidebar
- Go to Settings > Members and click the "Invite" button
The Invite Dialog
The invite dialog lets you send one or more invitations at a time. Each row has two fields:
- Email Address — the email of the person you want to invite
- Role — choose Member or Admin
To invite multiple people at once, click "Add Another" to add more rows. You can remove any row by clicking the X button next to it.
When you click "Send Invitations", each email receives a personalized invitation with a link to join your team. The dialog shows a confirmation when the invitations are sent successfully.
How Invitations Work
Each invitation generates a unique, secure link that's valid for 7 days. Here's what happens after you send one:
- The invitee receives an email with your company name, the role they've been assigned, and an "Accept Invitation" button
- Clicking the button takes them to an acceptance page
- If they're already logged in with the matching email, the invitation is accepted immediately
- If they're not logged in, they enter their email and receive a magic link to sign in
- After signing in, they're automatically added to your team with the assigned role
- You receive an email notification confirming they've joined
If the invitee doesn't have an account yet, the sign-in process creates one for them. They'll land in the dashboard as part of your team right away — no separate onboarding needed.
Invitation Expiry
Invitations expire after 7 days. If someone doesn't accept in time, the invitation becomes inactive. You can always resend it to generate a fresh link with a new 7-day window.
Managing Your Team
The Members tab in Settings shows everyone on your team in a unified list — both active members and pending invitations.
What You'll See
For each person, the list shows:
- Name and email — with their avatar if available
- Role — Admin or Member
- Status — Active (joined) or Pending (invitation sent)
- Joined date — when they became part of the team, or when the invitation was sent
You can search by name or email and filter the list by status — All, Active, or Pending.
Pending Invitations
Pending invitations show how many days remain before they expire. For each pending invitation, you can:
- Resend — sends the invitation email again and resets the link. Useful if the original email was missed or the link expired
- Cancel — revokes the invitation entirely. The invitation link stops working immediately. You'll see a confirmation dialog before the cancellation goes through
Removing Members
If you're an Admin, you can remove active team members by clicking the "Remove" button next to their name. A confirmation dialog appears before the removal is finalized.
Removing someone disconnects them from your team's workspace. They lose access to your campaigns, prospects, AI sales reps, and all shared data. This action cannot be undone — you'd need to send a new invitation to add them back.
Note: You cannot remove yourself from the team.
Shared Workspace
Once someone joins your team, they share access to everything in your workspace:
- Campaigns — all team members can view and manage the same campaigns
- Prospects and results — everyone sees the same people you've found through persona searches
- AI Sales Reps — all agents and their configurations are shared across the team
- Company knowledge — the company overview, products, personas, and knowledge panel are all shared
- Email accounts — connected Gmail accounts are available to the whole team
- Insights — campaign reply insights are visible to all members
There's no concept of "private" data within a team. If it's in your workspace, your team can see it. This keeps everyone aligned and prevents duplicate work.
